Refund and Cancellation Policy

This Policy applies to trials, subscriptions, renewals, seats, usage or overage fees, Meta/WhatsApp charges, and related purchases for InboxMates. It forms part of the Terms of Service. Except where this Policy or mandatory law says otherwise, fees for digital services are non-refundable.

1. Trials and Automatic Renewal

Eligible plans may include a seven-day free trial, as disclosed at checkout. If a payment method is required, you authorize us and our payment provider to charge the displayed subscription price, taxes, and disclosed usage fees when the trial ends and at each renewal until cancelled. Before confirmation, checkout will show the trial end, price, currency, billing frequency, material third-party charges, and cancellation method. A trial may be limited to one per customer, workspace, payment method, or business.

2. Cancellation

Cancel at any time through Account Settings > Billing or by emailing [email protected]. Cancellation is effective at the end of the current paid period unless the Service states otherwise. Cancel before the displayed trial or renewal deadline to avoid the next charge. You retain access through the paid period, and cancellation generally does not create a refund for unused time. Upgrades may be charged immediately on a prorated basis; downgrades normally begin next period.

If you cannot access the account, contact us before the renewal deadline with information sufficient to identify the subscription. We will not require a cancellation method materially more difficult than the signup method where applicable law prohibits it.

3. When We Provide Refunds or Credits

Subject to verification and mandatory law, we will refund or credit:

  • duplicate or incorrect charges caused by our billing system;
  • verified unauthorized charges, unless the payment provider or card issuer handles the remedy;
  • a paid period with no account login or paid-feature use after the charge, if requested within seven calendar days; or
  • amounts required by non-waivable consumer, digital-service, withdrawal, cooling-off, or defective-service law.

“Use” includes logging in, connecting a channel, accessing or sending messages, importing or managing contacts, configuring automations, using AI or analytics, inviting a member, exporting data, or using any paid feature. Any discretionary credit is one-time, has no cash value, and does not change this Policy.

4. Generally Non-Refundable Items

Unless required by law, we do not refund trial conversions or renewals that were properly disclosed; unused time or seats; failure to cancel; change of mind; usage, overage, message, conversation, telecommunications, or Meta/WhatsApp fees already incurred; setup, migration, implementation, or custom services already performed; taxes remitted; currency or bank fees; third-party outages, API or policy changes, message rejection, template rejection, or account restriction; customer configuration or connectivity issues; or suspension/termination for breach, abuse, chargeback fraud, or unlawful use.

5. Consumer Withdrawal Rights

Nothing in this Policy limits mandatory rights. If EEA or UK consumer law gives you a 14-day withdrawal right, you may exercise it by contacting [email protected]. If you requested immediate supply of the digital service, any refund may be reduced proportionately for service supplied before withdrawal; the right may be lost once fully performed where you gave the acknowledgments required by law. Similar local rights remain unaffected. Business purchases may not receive consumer withdrawal rights.

6. How to Request a Refund

Email [email protected] within 30 days of the charge, or sooner if local law requires, with the account email, workspace, invoice or transaction number, date, amount, and reason. Do not send full card or bank details. We may request reasonable identity, authority, and payment verification. We normally decide within 10 business days. Approved refunds are returned to the original payment method; provider posting times and currency conversion are outside our control.

7. Billing Disputes and Chargebacks

Contact us promptly so we can investigate. This does not waive your right to contact your bank or exercise statutory remedies. Fraudulent, duplicate, or abusive disputes may lead to suspension and recovery of permitted costs. A successful chargeback does not cancel the subscription unless confirmed; cancel separately to stop future renewals.

8. Service Termination and Changes

If we discontinue the entire paid Service without providing a substantially equivalent service, we will provide a prorated refund for the unused prepaid period unless the discontinuation results from law, sanctions, a third-party platform requirement, or your breach and mandatory law permits otherwise. We may update this Policy prospectively and will give notice of material changes. The version in effect when a charge occurs governs that charge, subject to mandatory law.
